Varnum LLP is looking for a Human Resources Assistant to join the Grand Rapids office. This position is responsible for a variety of tasks and projects in a professional services environment. This full-time position works Monday through Friday, 8:30 am to 5:30 pm.
Job Description:
The Human Resources Assistant will perform administrative tasks and services to support effective and efficient operations of the organization’s human resource department.
Duties/Responsibilities:
Process changes in HRIS related to employment status administration of attorneys and staff members.
Assists with all aspects of onboarding. Conducts new hire orientation sessions, facility tours, and team introductions.
Helps with writing, proofreading, and sending internal communications.
Provides general administrative support to the HR department.
Creates, maintains, and organizes employee files, both physical and electronic.
Performs periodic audits of HR files and records to ensure that all required documents are collected and filed appropriately.
Assists with recruitment and interview process, checking professional references, and scheduling interviews.
Reconciles monthly HR disbursements.
Organizes firm wide employee wellness events, recognition events, and lunch and learn trainings.
Coordinates all aspects of retirement celebrations.
Ensures smooth communication and prompt attention to requests and questions.
Assists with staff coverage for planned and unplanned absences.
Required Skills/Abilities:
Excellent verbal and written communication skills.
Proficiency with basic math skills related to budget spending, salary calculations, etc.
Outstanding interpersonal skills with the ability to manage sensitive and confidential situations with tact, professionalism, and diplomacy.
Exceptional organizational skills and attention to detail.
Ability to function well in a fast-paced environment.
Working understanding of human resource principles, practices and procedures.
Proficient with Microsoft Word, Excel, and Outlook.
Education and Experience:
Bachelor’s degree in related field required.
Prior professional services experience preferred.
Experience with an HRIS or applicant tracking system preferred.
