The Senior Executive Assistant is an integral part of a dedicated and highly skilled team, responsible for providing outstanding customized service to our Clients. Maintaining a high level of Client satisfaction is critical to the success of this position. The individual in this role is responsible for providing executive support to the Chief Executive Officer, serving as the primary point of contact for internal and external constituencies.
DUTIES & RESPONSIBILITIES:
Executive Assistance:
- Complete a wide variety of administrative tasks for the CEO including: managing an extremely active calendar of appointments; composing and preparing confidential or sensitive correspondence; arranging complex and detailed travel plans, itineraries, and agendas; and completing monthly expense reports.
- Plan, coordinate, and ensure the CEO's schedule is followed and respected; confirm appointments and meetings; serve a "gatekeeper" and "gateway" role, creating win-win situations for direct access to the CEO's time.
- Arrange, schedule, and set up conference calls and meetings.
- Create presentations and other meeting materials using various software.
- Manage and maintain electronic systems, records, and contacts; assist with tracking, reporting, and document completion.
- Research, prioritize, and follow up on incoming issues and concerns addressed to the CEO, including those of a sensitive or confidential nature; at times, assist in the appropriate course of action, referral, or response with the CEO’s final approval.
- Provide a bridge for smooth communication between the CEO and internal office support, demonstrating leadership to maintain credibility, trust, and support with all staff.
- Work closely and effectively with the CEO to keep her well informed of upcoming commitments and responsibilities and follow up appropriately.
- Demonstrate professionalism and courtesy in representing the CEO through interaction with internal and external colleagues, vendors, and partners.
- Provide leadership to build relationships essential to the success of the organization (both inside and outside the organization).
- Prioritize conflicting needs, handle matters efficiently and proactively, and follow through on projects to successful completion.
- Handle organization, filing, and mailing of various documents.
- Run errands as requested by the CEO.
Other:
- Effectively collaborate and communicate with others; demonstrate a desire to be part of a team.
- Exercise sound judgment and an appropriate sense of urgency.
- Complete other duties and projects as assigned.
REQUIREMENTS:
- Bachelor’s degree required.
- At least 5-7 years of experience supporting Executives.
- Flexibility to work hours outside of a normal working day.
- Exceptional attention to detail.
- Proficiency in MS Office products.
- Strong organizational skills with the ability to multi-task and meet commitments.
- Very strong interpersonal skills and the ability to build relationships with internal and external staff and partners.
- Highly resourceful team player with the ability to be effective independently.
- Proven track record of providing outstanding customer service with a professional, tactful demeanor.
- Forward thinking; someone who actively seeks opportunities and solutions.
- Must maintain the highest standards of professional conduct, ethics, and integrity in all operations.
