Scope of work

The Administrative Support Coordinator role is a highly organized position that plays a key role in supporting daily operations, special projects, and program coordination for the department.

This role provides administrative support through effective use of software applications, communication tools, and office systems. Responsibilities include managing calendars, coordinating meetings and travel arrangements, maintaining records and reports, preparing correspondence and presentations, processing documentation, and supporting department programs and initiatives.

The Administrative Support Coordinator serves as a resource for team members, members, and visitors by providing exceptional customer service and ensuring efficient day-to-day operations. Additional responsibilities include collecting and analyzing data, developing and maintaining reports, tracking departmental metrics, supporting special projects, managing office supplies and equipment, and coordinating multiple priorities in a fast-paced environment.

The ideal candidate is detail-oriented, organized, customer-focused, and able to work independently while supporting a variety of operational and administrative needs.

Qualifications

Required

  • Associate's Degree or equivalent coursework in Office Administration, Secretarial Science, or a related field

  • Two years of administrative, secretarial, or clerical experience

  • Two years of experience using computer systems and software applications in a professional setting

  • Two years of experience supporting administrative projects, program coordination, data collection, or reporting

  • Two years of experience providing customer service and interacting with the public

  • Strong organizational, communication, and multitasking skills

  • Ability to work independently, prioritize multiple responsibilities, and maintain confidentiality

Preferred

  • Experience in a healthcare, wellness, fitness, or medical office environment

  • Experience with data analysis, report development, and database management

  • Experience coordinating complex projects, schedules, or departmental programs

  • Experience supporting leaders and cross-functional teams in a fast-paced service environment
