Position Summary:
Under the supervision of the Police Administration, performs responsible clerical and secretarial work in support of the Public Safety Department. Receives calls, prepares reports, maintains filing systems, and maintains computerized records.
Essential Job Functions: An employee in this position may be called upon to do any or all of the following essential functions. To perform this job successfully, an individual must be able to perform each essential function satisfactorily.
- Receives, screens and directs telephone calls and visitors to the Department. Responds to inquiries and complaints and provides general information regarding departmental operations and policies. Refers complex issues to appropriate individuals as necessary.
- Prepares and revises a variety of reports and materials from rough draft. Ensures correct structure, grammar, math and format are used. Prepares correspondence from source files and documents using professional secretarial standards.
- Maintains the office filing system. Sorts, copies, and files materials in predetermined order and obtains necessary information and materials from files as needed.
- Assigns work, evaluates and trains departmental non-sworn staff as assigned.
- Inputs and accesses information and reports data via computerized information systems.
- Issues gun permits and bicycle licenses. Maintains associated records of permit and license issuance.
- Records Management System (RMS)/Zuercher coordination and training
- Maintains a log of court appearances and subpoenas.
- Assist in updating City Ordinance as it pertains to Public Safety.
- Issues TR52 abandoned vehicle titles
- Tracks abandoned vehicles and false alarms and mails associated bills and notices.
- Plans, researches and organizes special and routine projects as assigned.
- Receives, reviews, and complies with Freedom of Information Act requests for Police and Fire.
- Orders departmental supplies as needed.
- Maintains and disburses department keys/door cards.
- Organizes and maintain cleanliness of storage/supply rooms.
- Sends nuisance violation warning letters and maintains book of Padlock ordinance violations.
- Schedules and maintains departmental Community Room calendar and contracts.

Required Knowledge, Skills, Abilities and Minimum Qualifications:

Requirements include the following:
- A high school diploma with additional training in office management, secretarial science or a related field.
- One year experience as a secretary or office assistant, preferably in a municipal setting.
- The City, at its discretion, may consider an alternative combination of formal education and work experience.
- Knowledge of municipal and departmental policies and procedures.
- Knowledge of general office operations and clerical procedures and practices.
- Demonstrates skill and experience in the use of office equipment and technology, including Microsoft Suite applications and the ability to master particular software programs utilized by the Public safety Department.
- Skill in maintaining a complex record keeping system and preparing comprehensive and accurate reports.
- Ability to effectively communicate ideas and concepts orally and in writing, and compose and edit letters, reports, and other documents as directed.
- Ability to establish and maintain effective working relationships and use good judgement, initiative and resourcefulness when dealing with the public, law enforcement agencies, and other employees.
- Ability to understand and follow complex oral and written instructions, manage multiple tasks and work efficiently under stress, within deadlines and with changes in work priority.
- Ability to attend additional training as needed for position.

While performing the duties of this job, the employee is regularly required to communicate in person and by telephone, read regular and small print, view and produce written and electronic documents, and enter data on a computer keyboard with repetitive keystrokes. The employee must be mobile in an office setting, stand, sit, stoop and kneel, use hands to finger, handle, or feel and reach with hands and arms. The employee occasionally must lift and/or move items of light to moderate weight.
While performing the duties of this job, the employee regularly works in a business office setting. The noise level in the work environment is usually quiet.
